We are looking for an individual who has a strong administrative background who can demonstrate excellent attention to detail and with guidance from experienced Document Controller’s, develop in the role and become a key part of the business.

As a Trainee Document Controller based within the Spencer Group Head Office in Hull, you will be a key member of the Information Management Team, supporting the accurate and efficient recording of information produced across all IT Systems.

You will work closely with all sectors of the organisation to ensure contractual project data is effectively and efficiently controlled in line with all internal procedures.

Responsibilities

  • Issuing of project documentation to external stakeholders and internal sectors using Spencer’s
    bespoke document management system and additional specialised systems
  • Stringent checking and reviewing of documents to ensure accuracy prior to submissions, ensuring
    the latest revisions are circulated
  • Ensuring our internal procedures for document management are adhered to, and challenging any
    non-conformances
  • Maintaining and updating of project records and document control registers
  • Liaising with all levels of the project team, clients, external designers and sub-contractors
  • Appropriately manage the recording and internal distribution of incoming information received in
    multiple formats (Email, Dropbox, We Transfer etc)
  • Compilation of system reports and cross referencing of information recorded
  • Actively look for innovations that support our culture of continuous improvement
  • Other ad-hoc duties as and when required to support the information management team

Requirements and Qualifications

Requirements

  • Must have excellent communication skills, both verbal and written
  • Have a good eye for detail and work to a very high standard of accuracy
  • Ability to prioritise your work in a fast-paced environment
  • Flexible approach and ability to work under pressure to meet tight deadlines when required
  • Excellent computer skills are required and experience of Microsoft Office applications is essential
  • Ability to work independently or within a multi-disciplinary team
  • Ability to support and contribute to any performance improvements implemented

Qualifications & Experience

  • Minimum GCSE Maths and English grade A-C
  • Demonstrable experience within an administrative role
